Privacy Notice

Last updated: 13 September 2026.

This Privacy Notice explains how TAUGENCE, operator of iBioHealth, collects, uses, discloses, retains and protects personal information when you use the iBioHealth website, create an account, submit research, take part in peer review, register for a conference, join the research network, make a payment-related submission or otherwise communicate with us. It also explains the choices and rights available to you.

For the processing described in this notice, TAUGENCE is the controller of your personal information unless we tell you that another organization is acting as a separate controller. You can contact us at conference@ibiohealth.org.

1. Information we collect

We collect only information that is relevant to operating the conference, research publication and related services. Depending on how you use iBioHealth, this may include:

  • Identity and account data: your name, email address, password hash, account role, account status and sign-in timestamps.
  • Contact and professional data: first and last name, email address, telephone number, organization, country, professional relationship with iBioHealth, communication history, CRM classifications, tags and staff notes.
  • Conference registration data: registration category, registration number, attendance and confirmation status, organization, country, telephone number and dates associated with registration or attendance.
  • Optional dietary and accessibility information: information you choose to provide so that participation arrangements can be made. This information may reveal health, disability, religious or other sensitive information.
  • Research and publication data: manuscript titles, abstracts, keywords, author information, manuscript files and versions, author responses, editorial decisions, publication files, citations, DOI information and licensing choices.
  • Peer-review data: reviewer identity and contact information, invitations, review status, recommendations, scores, confidential comments and comments intended for authors.
  • Newsletter and communications data: email address, first name, source, subscription status, consent date, unsubscribe status and records of transactional email delivery.
  • Payment administration data: registration or manuscript reference, amount, currency, selected payment provider, payment link, invoice records, payment status, proof-of-payment documents you upload, verification information and related notes. iBioHealth does not collect your payment card, bank-account password or other payment credentials.
  • Security and technical data: IP address, failed sign-in or public-form attempt counts, security lock periods, session information, audit-log entries and related timestamps.
  • Enquiry data: information you send through contact forms or direct communications, including the subject and content of your message.

2. Where information comes from

Most personal information comes directly from you. We may also receive information from an author or corresponding author who lists co-authors, from conference or editorial staff who manage a relationship or workflow, from reviewers and editors participating in peer review, and from payment or email service providers when they return operational status information. Some security data, such as IP addresses and request timestamps, is generated automatically when you use the service.

If you provide personal information about another person, such as a co-author, you should have authority to provide it and should direct that person to this notice where appropriate.

3. Why we use information and our legal bases

Where the EU GDPR or UK GDPR applies, we rely on one or more lawful bases according to the activity:

  • Accounts, registration and requested services — contract or steps at your request. We use identity, contact, registration, manuscript and payment-administration information to create and secure accounts, accept submissions, administer peer review and publication, register participants, manage attendance and deliver the services you request.
  • Conference, editorial and relationship administration — legitimate interests. We use appropriate contact, professional, CRM, manuscript and operational information to organize the conference, manage the research community, maintain publication integrity, respond to enquiries and run iBioHealth efficiently. We balance these interests against your rights and expectations.
  • Security, fraud prevention and accountability — legitimate interests and legal obligations where applicable. We use authentication records, IP addresses, throttling records and audit logs to protect accounts and systems, investigate misuse, preserve integrity and demonstrate accountability.
  • Financial and record-keeping obligations — contract and legal obligations. We use payment status, invoices, proof-of-payment records and related information to administer fees, verify payments, resolve disputes and meet applicable accounting, tax or legal requirements.
  • Research-network and newsletter messages — consent. We send optional marketing or research-network updates when you have chosen to subscribe. You can withdraw that consent at any time by using the unsubscribe link or contacting us. Service messages that are necessary for an account, submission, registration, payment or other requested transaction are not marketing.
  • Optional sensitive participation information — explicit consent where required. Dietary or accessibility information is optional and is used only to arrange participation needs. Where applicable law treats the information as special-category or sensitive data, we rely on the specific consent you give for that purpose or another lawful condition that we clearly identify before processing.
  • Legal claims and compliance — legal obligations and legitimate interests. We may use or preserve information where reasonably necessary to comply with law, respond to lawful requests, establish or defend legal claims, or protect the rights and safety of iBioHealth, TAUGENCE, participants or others.

Where we ask for information that is required to provide a service, not providing it may mean that we cannot create the account, accept the submission, complete registration or perform the requested activity. Optional fields are identified by the context in which they are presented.

4. Sensitive information

We do not ask for health or other sensitive information unless there is a practical need. Dietary and accessibility fields are optional and exist so that we can make suitable participation arrangements. Please provide only what is necessary. Information of this kind is restricted to personnel who need it for the relevant arrangement and should not be used for unrelated profiling or marketing.

5. Research submissions and peer review

Research submission and peer-review services necessarily involve controlled disclosure. Manuscript information may be made available to assigned editors, reviewers and authorized conference or publication staff. Reviewer confidential comments are intended for authorized editorial personnel and are not intended for public disclosure. If work is accepted and published, author names, affiliations or other publication metadata and the final scholarly record may become public as part of normal academic publication.

6. Payments

iBioHealth may direct you to an external payment provider such as Wise, Payoneer or another provider selected for a particular transaction. The provider processes payment credentials under its own privacy terms. iBioHealth records the information needed to administer the transaction, such as the provider, amount, currency, status, invoice and any payment proof you choose to upload. We do not collect or store card security codes, online-banking passwords or equivalent payment credentials.

7. Who we disclose information to

We disclose personal information only where reasonably necessary for the purposes described above. Recipients may include:

  • authorized TAUGENCE and iBioHealth administrators, conference staff, editors and other personnel with a work-related need to know;
  • assigned peer reviewers and editorial participants where necessary for the review and publication process;
  • service providers that support hosting, email delivery, security, file storage, technical operations or other infrastructure on our behalf;
  • payment providers selected to process a payment that you initiate;
  • professional advisers, auditors, insurers or authorities where reasonably necessary for legal, regulatory, accounting, security or dispute-resolution purposes; and
  • another party in connection with a lawful organizational restructuring, provided appropriate protections apply.

We do not sell personal information. The current iBioHealth service does not share personal information for cross-context behavioural advertising or use third-party advertising trackers.

8. International transfers

iBioHealth is an international conference and research service operated in connection with activities in Egypt and participants in multiple countries. Personal information may therefore be accessed or processed in a country different from the one in which you live. Where EU, EEA or UK law restricts an international transfer, TAUGENCE will use a transfer mechanism permitted by applicable law before making the restricted transfer, such as an applicable adequacy decision or regulation, approved contractual safeguards, or another lawful mechanism. You may contact us for information about safeguards relevant to a particular transfer.

9. How long we keep information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and for legitimate operational, scholarly, security, accounting or legal requirements. Retention depends on the type of record:

  • account and registration records are kept while needed to administer participation and the continuing relationship, then reviewed against legal and operational needs;
  • newsletter subscription records are kept while you are subscribed, and limited suppression information may be retained after opt-out so that we can respect your choice;
  • manuscript, editorial, review and publication records may be retained as part of the scholarly and publication record, subject to confidentiality obligations and applicable law;
  • payment and invoice records may be kept for applicable accounting, tax, audit and dispute-resolution periods;
  • security, throttling and audit records are retained for only as long as reasonably necessary for security, integrity, investigation and accountability; and
  • optional dietary or accessibility information should be deleted or de-identified when it is no longer needed for participation arrangements, unless retention is required by law or needed to resolve a related issue.

When information is no longer required, we will delete, de-identify or otherwise dispose of it appropriately, subject to lawful exceptions.

10. Cookies and similar technologies

iBioHealth uses essential session and security technologies needed to operate accounts, forms and protected areas. The current application does not use third-party advertising cookies or cross-site behavioural advertising trackers. If optional analytics or marketing technologies are introduced in the future, this notice and any required consent controls must be updated before those technologies are used where consent is required.

11. Security

We use technical and organizational measures appropriate to the nature of the service, including password hashing, access controls, role-based permissions, server-side authorization, CSRF protection, form-abuse throttling, audit logging, controlled file handling and protected storage. No internet service can guarantee absolute security. If you believe your account or personal information has been compromised, contact us promptly.

12. Your EU and UK data-protection rights

If the EU GDPR or UK GDPR applies to your personal information, you may have the right, subject to legal conditions and exceptions, to:

  • be informed about how your information is used;
  • request access to your personal information;
  • request correction of inaccurate or incomplete information;
  • request deletion of information;
  • request restriction of processing;
  • receive certain information in a portable format;
  • object to processing based on legitimate interests or to direct marketing;
  • withdraw consent at any time, without affecting processing that was lawful before withdrawal; and
  • lodge a complaint with the data-protection authority in the country where you live or work, or where you believe an infringement occurred. In the United Kingdom, the supervisory authority is the Information Commissioner's Office.

We may need to verify your identity before acting on a rights request. We will respond within the period required by applicable law.

13. United States privacy rights

Privacy rights in the United States vary by state and apply according to statutory scope and eligibility. Where an applicable US state privacy law gives you rights, those rights may include requesting access to or confirmation of personal information, correction, deletion, portability, information about categories of collection and disclosure, and the ability to opt out of certain sales, sharing, targeted advertising or profiling. California residents may also have rights under the California Consumer Privacy Act, as amended, including rights to know, delete, correct, opt out of sale or sharing, limit certain uses of sensitive personal information and receive non-discriminatory treatment for exercising applicable rights.

iBioHealth does not currently sell personal information or share it for cross-context behavioural advertising. If these practices change, we will update this notice and provide legally required opt-out mechanisms before the new practice begins.

14. Marketing choices

You can unsubscribe from optional iBioHealth research-network or marketing emails at any time using the unsubscribe link included in the message. We may still send non-marketing communications that are necessary to administer an account, research submission, review, registration, payment, security event or other transaction you requested.

15. Automated decisions

iBioHealth does not currently make decisions based solely on automated processing that produce legal or similarly significant effects on participants, authors or reviewers. Automated security controls may temporarily restrict repeated failed sign-ins or excessive public-form submissions to protect the service. These controls are security measures rather than substantive decisions about conference or publication eligibility.

16. Requests, complaints and contact

To exercise a privacy right, withdraw consent, ask about an international transfer, or raise a privacy concern, email conference@ibiohealth.org with the subject Privacy request. Please do not send passwords, payment credentials or unnecessary sensitive information in your request.

If you are in the EEA or UK, you also have the right to complain to the competent supervisory authority. If you are in the United States, you may have additional complaint or appeal rights under applicable state law.

17. Changes to this notice

We will review this notice as iBioHealth services, data practices and legal requirements evolve. Material new uses of personal information should be brought to affected individuals' attention before the new processing begins where required by law. The date at the top identifies the current version.

Important: this notice describes the current iBioHealth application and its intended privacy practices. It does not replace any additional notice or consent that may be required for a specific conference activity, research study, partner-operated service or legally distinct processing operation.
